You were sent a proof page. Here is what it is.
A proof page is one vendor visit, written down: what was supposed to happen, what was done, what was left, and photos with times. Nothing on it is described as verified, which is what makes the rest of it worth reading.
The 6 things a record should contain
- Site and date
- One building, one visit, one date. Not a month's summary.
- Completion time
- When the crew finished, and who reported it.
- Checklist
- What was supposed to happen, with the items not done still shown.
- Photos
- Timed and captioned by area, not a folder of forty.
- Description
- Plain sentences, including anything left undone and why.
- Provenance
- For each fact, how it is known — reported, saved, or not collected.
How to ask your other vendors for one
Most vendors already take the photos. What they do not do is organise them per visit and send them. Asking is usually enough, and it costs a small contractor nothing to start.
Could you send a proof of service record for each visit from now on? One page per site per visit: date, completion time, the checklist with anything not done still listed, and timed photos by area. A link is fine — it does not need to be a PDF.
If a vendor asks how, send them this page — we will build their first one free, and they can carry on themselves after that.
